Bitcs Pvt Ltd. ("us", "we", or "our") operates Bitcs.in (the "Site" or the "Platform") to provide digital mentorship services and educational programs. This Cancellation and Refunds Policy describes the terms and conditions for cancellations and refunds of our services.

Please read this policy carefully before making a purchase. By purchasing our services, you agree to be bound by the terms outlined in this policy.

1. Application Fees

1.1 Non-Refundable Application Fees

Application fees paid for programs such as the Super 30 Fellowship and other selective programs are non-refundable. These fees cover:

  • Cost of processing and reviewing your application
  • Administrative expenses and system costs
  • Evaluation of your qualifications and materials
  • Interview and assessment processes (where applicable)
  • Program planning and resource allocation

Important: Application fees cannot be refunded regardless of:

  • Whether you are accepted into the program
  • Whether you are rejected from the program
  • Whether you withdraw your application
  • Whether you decide not to participate after acceptance
  • Any change in your personal circumstances

1.2 Application Processing

  • Payment Processing - Once you submit your application and payment is processed, the application fee is immediately allocated to cover processing costs and cannot be refunded.
  • Application Review - Your application will be reviewed regardless of the outcome. The application fee ensures that every application receives proper consideration and evaluation.
  • Transferability - Application fees are non-transferable to other programs, cohorts, or applicants. Each application requires a separate fee payment.

2. Program Fees

2.1 Refund Eligibility

Refund eligibility for program fees depends on several factors:

  • The specific program terms and conditions
  • The timing of your cancellation request
  • The amount of service already rendered
  • Whether you have accessed program materials
  • Your enrollment agreement terms

Please refer to your specific program enrollment agreement for detailed refund terms.

2.2 Cancellation Before Program Start

If you cancel your enrollment before the program start date, you may be eligible for a refund as follows:

  • Full Refund (Minus Processing Fees) - If you cancel more than 14 days before the program start date, you may be eligible for a full refund minus any processing fees charged by payment gateways (typically 2-3% of the transaction amount).
  • Partial Refund - If you cancel between 7-14 days before the program start date, you may be eligible for a partial refund (typically 50-75% of the program fee, minus processing fees), as resources may have already been allocated.
  • No Refund - If you cancel less than 7 days before the program start date, no refund will be provided, as all resources have been allocated and the program is ready to commence.

Cancellation requests must be submitted in writing to info@bitcs.in with your order reference number.

2.3 Cancellation After Program Start

Once a program has commenced, refunds are typically not available because:

  • Resources have been allocated and services have been rendered
  • Mentors and instructors have been assigned
  • Program materials and content have been provided
  • Infrastructure and platform access have been activated
  • Your spot in the program cannot be filled by another participant

However, exceptional circumstances may be considered on a case-by-case basis, including:

  • Medical emergencies (with supporting documentation)
  • Family emergencies or bereavement
  • Unexpected job relocation or deployment
  • Program cancellation or significant changes by Bitcs
  • Technical issues preventing access (if unresolved after support)

Requests for refunds after program start will be evaluated individually and may result in partial refunds based on the amount of service already provided.

2.4 Pro-Rated Refunds

In exceptional cases where refunds are approved after program start, refunds will be calculated on a pro-rated basis:

  • Based on the percentage of program completed
  • Minus the value of services already rendered
  • Minus any processing fees
  • Subject to a minimum non-refundable amount (typically 30-40% of program fee)

3. Refund Process

3.1 Request Submission

To request a refund, please follow these steps:

  1. Contact Us - Send an email to info@bitcs.in with the subject line "Refund Request - [Your Name]"
  2. Provide Information - Include the following information in your request:
    • Your full name and email address (as registered)
    • Order or payment reference number
    • Program name and enrollment date
    • Reason for cancellation/refund request
    • Supporting documentation (if applicable)
  3. Wait for Response - Our team will review your request and respond within 5-7 business days.

3.2 Review Process

  • Initial Review - Refund requests will be reviewed within 5-7 business days of receipt. We may request additional information or documentation during this process.
  • Evaluation Criteria - Requests are evaluated based on:
    • Timing of the request relative to program start
    • Amount of service already rendered
    • Reason for cancellation
    • Program-specific terms and conditions
    • Supporting documentation provided
  • Decision Notification - You will be notified of the decision via email. If approved, you will receive details about the refund amount and processing timeline.

3.3 Processing Time

  • Approval to Processing - Once a refund is approved, processing typically takes 10-15 business days.
  • Payment Gateway Processing - The refund will be processed through the same payment method used for the original transaction. Processing times may vary by payment provider:
    • Credit/Debit Cards: 5-10 business days
    • Net Banking: 5-7 business days
    • UPI: 3-5 business days
    • Wallets: 3-7 business days
  • Bank Processing - After the refund is processed by our payment gateway, your bank may take additional time (typically 2-5 business days) to credit the amount to your account.

3.4 Refund Method

  • Original Payment Method - Refunds will be issued to the original payment method used for the transaction. We cannot issue refunds to a different account or payment method.
  • Processing Fees - Please note that processing fees charged by payment processors (typically 2-3% of transaction amount) may not be refundable, as these fees are charged by third-party payment gateways and are outside our control.
  • Currency - Refunds will be issued in the same currency as the original payment.

4. Non-Refundable Items

The following items are non-refundable under all circumstances:

  • Application Fees - All application fees are non-refundable, regardless of program acceptance or participation status.
  • Processing Fees - Fees charged by payment gateways and processors are typically non-refundable.
  • Services Already Rendered - Any services that have already been provided, including:
    • Mentorship sessions already conducted
    • Content and materials already accessed
    • Assessments and evaluations completed
    • Certificates already issued
  • Digital Content - Once digital content has been downloaded, accessed, or streamed, it cannot be refunded.
  • Promotional Discounts - If you received a promotional discount and later request a refund, the refund amount will be calculated based on the discounted price paid, not the original price.

5. Program Cancellation by Bitcs

In the unlikely event that Bitcs cancels a program, enrolled participants will be entitled to the following:

  • Full Refund - Enrolled participants will receive a full refund of program fees (excluding application fees) within 15 business days of cancellation notification.
  • Notification - All participants will be notified via email as soon as possible if a program cancellation occurs. We will provide:
    • Reason for cancellation
    • Refund timeline and process
    • Alternative options (if available)
    • Contact information for questions
  • Alternative Options - When possible, we may offer alternative options such as:
    • Transfer to a future cohort
    • Credit toward another program
    • Partial program completion (if applicable)
  • Application Fees - Application fees remain non-refundable even in case of program cancellation, as they cover costs already incurred in processing applications.

6. Disputes and Chargebacks

We strongly encourage direct communication to resolve any concerns:

  • Contact Us First - If you have concerns about a charge or service, please contact us directly at info@bitcs.in before initiating a chargeback with your payment provider. We are committed to resolving issues amicably and will work with you to find a satisfactory solution.
  • Chargeback Process - If you initiate a chargeback without first contacting us, we will:
    • Respond to the chargeback with relevant documentation
    • Provide evidence of service delivery
    • Present our refund policy and terms
    • Work with payment processors to resolve the dispute
  • Impact of Chargebacks - Unnecessary chargebacks can result in:
    • Delayed resolution of your issue
    • Additional fees charged by payment processors
    • Potential account restrictions
    • Legal complications

7. Special Circumstances

We understand that exceptional circumstances may arise. Refund requests due to the following situations will be reviewed on a case-by-case basis:

  • Medical Emergencies - Serious medical conditions preventing participation, with supporting documentation from a licensed medical professional.
  • Family Emergencies - Serious family emergencies or bereavement, with appropriate documentation.
  • Job Relocation or Deployment - Unexpected job relocation or military deployment that prevents participation, with supporting documentation.
  • Technical Issues - Persistent technical issues preventing access to program materials, after exhausting all support options.
  • Program Quality Issues - Significant deviations from advertised program content or quality, documented with specific examples.

All special circumstance requests must include supporting documentation and will be evaluated individually.

8. Transfer and Deferral Options

In some cases, alternatives to refunds may be available:

  • Program Transfer - You may be able to transfer your enrollment to a future cohort of the same program, subject to availability and program policies. Transfer requests must be made before the program start date.
  • Deferral - Some programs may allow deferral to a later date, subject to program terms and availability. Deferral policies vary by program.
  • Credit Transfer - In exceptional cases, you may be able to transfer credit to another Bitcs program, subject to approval and program compatibility.

Please contact us to discuss transfer and deferral options before requesting a refund, as these may be preferable alternatives.

9. Refund Exclusions

Refunds will not be provided in the following situations:

  • Change of mind after enrollment
  • Failure to meet program requirements or expectations
  • Inability to attend scheduled sessions (recordings are typically provided)
  • Dissatisfaction with program content (unless significantly different from advertised)
  • Personal circumstances that prevent participation (unless exceptional)
  • Violation of terms of service resulting in program termination
  • Duplicate payments (one will be refunded, but processing fees apply)

10. Changes to This Policy

We reserve the right to modify this Cancellation and Refunds Policy at any time. Changes will be effective immediately upon posting on this page. We will notify you of material changes by:

  • Posting the updated policy on this page
  • Updating the "Last Updated" date
  • Sending email notifications for significant changes (to enrolled participants)

Your continued use of our services after changes are posted constitutes your acceptance of the modified policy. However, refund eligibility for existing enrollments will be determined based on the policy in effect at the time of your enrollment.

This policy does not affect your statutory rights as a consumer. Depending on your jurisdiction, you may have additional rights under local consumer protection laws. This policy is designed to comply with applicable laws while providing clear terms for our services.
